Data Protection Declaration


Protecting your personal data is important to us. Your application provides us with various personal data that we process on the basis of statutory provisions. Below, we provide you with information on the way we process your personal data when you apply to Aareal Bank and on the rights and remedies you have under data protection law.

2. What data categories are processed in your application?

The following categories of personal data are assessed at your application:

  1. Contact data (e.g. first name, surname, address, email address, landline/mobile phone number)
  2. Correspondence data for your application (e.g. email correspondence)
  3. Data about your career (e.g. CV, qualifications, occupational experience and training)
  4. Personal data (e.g. languages, competencies, preferred area of work)
  5. Data that are necessary to commence possible drafting of a work contract.
  6. Additional questions depending on the job advertisement concerned (e.g. driving licence) or proposed salary

Special categories of personal data may be processed in this connection (e.g. data relating to a severe disability).

The data are raised in the course of the application procedure. They are encrypted during electronic transmission. The data originate in the application process that you have completed and from the files you have uploaded and any video and telephone conferences that have been conducted with you.

We may also process personal data that we have legitimately obtained and may process from publicly accessible sources.

You are not obliged to provide us with your data but we are not able to include you in the application process if you do not do so.


3. Use of the data

When you first apply you generate a user profile which is valid for all your applications. It includes your contact data and CV data. You can update these at any time.

You then have the option of providing further data (e.g. a CV) during an application. These data are provided voluntarily.

Data processing during application is aimed at enabling employment.

We are processing your data on the basis of the General Data Protection Regulation and all other relevant legislation (e.g. the German Works Constitution Act) Where particular categories of personal data are processed, processing on the grounds of performing legal obligations occurs on the basis of the relevant local provisions (e.g. Sozialgesetzbuch - German Social Security Code, IX).

In addition, processing of personal data can also be grounded in your permission pursuant to the General Data Protection Regulation.


4. Wo can see the data?

Your data are used by Aareal Bank AG and its subsidiaries (Deutsche Bau- und Grundstücks-AG and Aareal First Financial AG).

Your data are used by Aareal Bank AG for the application procedure or to meet statutory obligations. Only persons involved in processing your application are given access to your data (e.g. Human Resources, the specialist division, the Works Council, representatives of severely handicapped employees) All employees entrusted with the data processing are obliged to maintain confidentiality of your data.

If you have applied for a vacancy at one of our subsidiaries, we provide your data to the persons responsible there so that they can continue the application processing.

Within Aareal Bank and its subsidiaries, your data are transmitted to other Group companies, if these provide IT services for Aareal Bank or its subsidiaries.

In addition we may use specialised external providers for personnel assessment procedures. We transmit to them applicant data (usually contact data) during an application procedure so that they can conduct assessments.

5. Your Rights in regard of data stored


You have the right at any time to request access to your data that we have retained. You also have the right to rectification, the right to erasure, the right to restriction of processing, the right to object and the right to data portability. With regard to the right of access and the right to erasure the restrictions of sections 34 and 35 of the BDSG apply. There is also the right to lodge a complaint with the competent data protection supervisory authority.

The above-mentioned address and your user profile are available for your right to information, rectification and erasure. In your user profile you can view your data and the application processes, rectify your data or have the data erased. The deadlines given under number 6 apply.


6. How Long are the data retained?

The personal data that you transmitted to us during the application process are subject to a retention period of six months after the application process has ended. You may withdraw an application at any time and thereby commence the termination of the application process. In the case of a successful application we reserve the right to retain your application documents for a longer period, where the future date on which you commence employment is more than six months after the end of the application process.

If you have consented to longer data retention, data erasure occurs after 12 months, unless an application process is still running and has not been terminated.

If other statutory retention periods prevent erasure, your data are blocked rather than erased.


7. Agreement and revocation

You may revoke your agreement to the use of your personal data for handling your application at any time and without having to give a reason, and that takes effect for the future. Where the data processing serves to preserve the legitimate interests of Aareal Bank AG or its subsidiaries, you can object to this processing for reasons resulting from your particular situation. If you object, we will no longer process your personal data, unless we can provide compelling legitimate grounds for the processing which override your interests, rights and freedoms, or if the processing serves to establish, exercise or defend legal claims. In addition, you can withdraw your application(s) at any time in your user profile or direct your objection to the address in number 1.

However, your further inclusion in any applications that are current is thereby ruled out. Further use of your data in this application/these applications will not occur if you object. The foregoing does not affect agreement to data processing that occurred up to the point in time of the objection.  

Your application/s will then be erased from the system, in accordance with statutory provisions (e.g. statutory evidence and retention obligations) and the erasure deadlines named under number 6.  

Erasure of your entire user profile will occur only on special request and also considering the aforementioned provisions and automatically after expiry of the erasure Deadlines.


8. Are my data transferred to other countries?

Should we transmit personal data to service providers or Group companies outside the European Economic Area, the transmission occurs only to the extent that your data in a given country are processed while adhering to the EU level of data protection.


9. Do automated decisions occur on a case-by-case Basis?
 

No, we do not use any purely automated processing to bring about an automated decision. Nor do we use any profiling.

10. What are Cookies?

Aareal Bank uses cookies at various points in the application process. Cookies serve to make an online application more user-friendly, more effective and safer. Cookies are small text files that are saved to your computer. Sessional cookies are deleted when you leave our website. Permanent cookies (e.g to return to an application process later) remain on your computer' s hard drive until your browser deletes them. You can prevent the generation of a user profile by blocking in your browser cookies from being set by the prescreenapp.io domain. If you have already allowed cookies to be set, you can block cookies placed by the prescreenapp.io for the future. But please note that in this case you may not be able to use all functions of the application tool to the full extent.
